|
| Ticket/Docket Generation |
With
any despatch operation, speed is of the essence, allowing the
operator to quickly process tickets / dockets, preventing backlog
of lorries at the weighbridge. When designing QuarryMaster,
this was at the forefront of our thoughts and as a result, we
can boast average ticket generation times in the region of 15
seconds. This is facilitated by the use of searchable lists,
which allow the operator to make a selection from pre-entered
data and a user interface which has been designed around the
need for speed. |
 |
| Weighbridge Links |
QuarryMaster
can link to any weighbridge equipment which is capable of a
PC connection. The system can be configured to extract any part
of the indicator output string with immediate output to a visual
configuration panel, providing engineers with a user friendly
installation and setup mechanism. |
 |
| Output Activity Monitoring |
The
Daily Log gives you the facility to monitor summary details
of the days transactions at a glance from any PC workstation
across any of your despatch depots by simply choosing the correct
one from a selection. Refresh intervals can be set by second
increments to ensure that the information displayed is up to
date and in real time, helping managers and supervisors get
a more accurate picture of the days events. The Daily Log not
only allows you to view the transactions for the current day,
but a series of tabs also allows you to quickly check the details
for any day during the past week. In addition, you can also
change the date should you need to review activity older than
the current week - even if the activity was actually several
years before. |
 |
| Visitors Log |
The
Visitors section of QuarryMaster allows you to record registration
details of any vehicles arriving and departing from your despatch
depot(s) so you always have an accurate log of who is on site
and their reason for visiting. The system also automatically
records the arrival and departure times of all vehicles so,
with the use of reporting you are able to determine who was
on site and for how long on any given date and time. |
| Backoffice
Accounts Systems |
|
| Accounts System Link |
QuarryMaster
is compatible with most standard accounts packages, offering
seamless direct two-way communications. This eliminates the
need for duplicate data entry and reduces the time taken to
transfer information such as customer account details, while
still offering flexibility. QuarryMaster will automatically
detect any new or amended accounts in the accounts package and
update accordingly. Furthermore, if accounts are deleted from
the accounts system, QuarryMaster marks them as inactive rather
than removing all traces in order to retain full historical
analysis. Accounts marked as inactive are not available to despatch
operators to prevent tickets / dockets being assigned to the
wrong account by accident. QuarryMaster generates billing transactions
which are then transferred back to the accounts system for invoicing. |
 |
| Invoicing Options |
QuarryMaster
has several invoicing options which allow you to generate self-billing
invoices for hauliers and drivers as well as regular customer
invoices and credit notes. Flexible layouts give you the mechanism
to customise invoices as well as offering several default options.
The transactions can also be transferred to an accounts system
for invoicing if preferred. By assigning an invoicing frequency
(e.g. daily, weekly, monthly), you are able to control how often
this process is carried out for specific customers and batches
of customers. Dockets/Tickets can be consolidated onto a single
invoice for each customer or separate invoices can be generated
for each delivery site. |
 |
| Contracts/Job Costing |
This
module is invaluable to those who carry out contract work as
it enables them to accurately account for each transaction going
to a project, meaning, you are able to more efficiently gauge
profitability on individual jobs. Job costing in QuarryMaster
allows you to create an unlimited number of expense headings
for each contract to which you can assign budgets allowing you
to compare actual costs with original budget figures. The dockets/tickets
can be transferred to an external job costing system if required.
Contracts can have associated delivery sites with full product
pricing and haulage/driver costs available for each site. |
 |
| Customers |
QuarryMaster
can be used to record name and address information relating
to each customer while still allowing a high level of control
over how each customer account should be operated such as product
pricing, invoicing, analysis, etc. It is also possible to set
"special" haulage and driver rates for each customer
to handle unusual circumstances. Customer accounts can have
associated contracts and delivery sites with full product pricing
and haulage/driver costs available for each contract and site.
Customer accounts are generally linked to equivalent Sales Ledger
accounts in the back office finance system. However, this is
not always the case as "special" customer accounts
can be created in QuarryMaster to handle such things as cash
sales and new customers. |
 |
| Suppliers |
In
addition to recording name and address information relating
to each supplier, QuarryMaster allows a high level of control
over how the account should be operated, e.g. pricing, invoicing,
analysis, etc. It is also possible to set "special"
haulage and driver rates for each supplier to handle unusual
circumstances. Supplier accounts can have associated delivery
sites with full pricing and haulage costs available for each
site. |
 |
| Delivery Sites |
In
addition to recording name and address information relating
to each delivery site, QuarryMaster allows a high level of control
over how each delivery site should be operated such as product
pricing, invoicing and analysis. It is also possible to set
"special" haulage and driver rates for each delivery
site to handle unusual circumstances. Delivery sites can be
associated with Customers, Contracts and Suppliers with full
product pricing and haulage/driver costs available for each
combination. |
 |
| Quotations & Orders |
A
comprehensive Quotation module allows you to enter information
at the time of enquiry. You can record general details (e.g.
contact and account particulars) as well as more specific information
such as delivery addresses, products required and agreed prices.
Trading References can be collected and stored should the prospect
become a customer. A Status section helps track the progress
of a quotation by recording review and approval dates and once
the customer has confirmed, the details can be automatically
converted into an order at the touch of a button and from that,
despatch tickets/dockets can be generated. |
|
|
| Vehicle Management |
The
Vehicle Management module of QuarryMaster maintains a comprehensive
record of the vehicles used or owned by your company. Basic
details such as registration numbers and descriptions can be
recorded as well as tare and maximum weights. A record of vehicle
service histories can be maintained with related costs helping
you ascertain the overall lifetime efficiency of any vehicle.
It is also possible to assign vehicles to fleets and haulage
companies and to group vehicles by type and number of axles
for analysis. |
 |
| Driver Management |
The Drivers module
of QuarryMaster enables you to record details relating to the
individual drivers employed by your company or working for hauliers
used by your company, including such things as general contact
information, licence particulars and payment rates and methods. |
 |
| Haulier Management |
The
Hauliers module of QuarryMaster allows you to record both contact
and licence details of all hauliers engaged by your company,
including the option to provide a definition for the haulier
- for example, Owner-Driver or Haulage Company. You can also
set up individual haulage pricing schemes and billing methods.
|
 |
| Self Billing Invoices |
QuarryMaster maintains
records of all driver and haulier transactions at an individual
driver/vehicle level and for those companies who operate a self-billing
policy; this means you can automatically generate self-billing
invoices, which can then be sent for verification by the drivers
or hauliers so the correct payment can be made. |
 |
| Products,
Pricing and Transportation Costs |
|
| Products and Analysis Levels |
QuarryMaster enables
you to organise Product Items into two different levels - Category
and Group. This is useful for reporting purposes but it also
allows you to easily set up pricing and haulage rules at a high
level instead of at the individual product level. A Product
Item can belong to a Product Group while a Product Group can
belong to a Product Category. Product Items will inherit default
configuration properties from Product Groups, which in turn
inherit from Product Categories. |
 |
| Concrete Mix Control |
Concrete Mix Control provides
management over mixes for concrete batching. Mixes can be
defined with default ingredient components which can be optionally
overruled during the order entry / despatching process. Concrete
Mix Control enhances the QuarryMaster pricing engine by optionally
allowing prices to be set for each mix. QuarryMaster can be
integrated with third party computerised concrete batching
systems for two way exchange of information.
|
 |
| Product Pricing |
The QuarryMaster
Product Pricing Engine has been designed with flexibility and
customisation in mind and will allow both simple and complex
pricing models to be implemented for customers and contracts.
Delivered and exworks rates (including Radial Mileage calculations)
can be entered at multiple levels including product item, product
group, product category, customer, contract and delivery site.
At each of these levels, separate price lists can also be entered
based on any of the following factors:- depot, country, currency
and delivery type. A delivered rate will always override any
Radial Mileage calculations setup elsewhere in the system (for
more information on Radial Mileage Schemes please see the section
below). |
 |
| Transportation Costs |
The Transportation
Costs Engine can be used to calculate payments and internal
costs for hauliers and company drivers (for driver "Pay
by Load" payroll systems). Rates can be entered at multiple
levels including product item, product group, product category,
customer, contract, delivery site, vehicle, haulier and driver.
Separate price lists can be entered based on any of the following
factors:- depot, country, currency and delivery type. |
 |
| Radial Mileage Schemes |
Radial Mileage Schemes
can be used to calculate product delivery charges and transportation
costs based on the distance to the delivery site. Radial Mileage
Schemes can be setup to operate with a series of mileage bands
with each one having different charging calculations and rules.
Radial Mileage Schemes can be defined and set for any of the
pricing levels listed above under Product Pricing and Transportation
Costs. Typically, Radial Mileage Schemes are used to provide
a default delivery rate for those customers and contracts who
have not been individually priced - they are very easy and quick
to setup. Of course, if you have agreed "special"
delivery rates with some of your customers, then QuarryMaster
will use these rates instead of the Radial Mileage calculated
rates. In fact, you can have the best of both worlds by mixing
both pricing methods. You can even perform analysis of your
"special" pricing against your default radial mileage
pricing which is useful to determine if a salesperson is discounting
too much !! |
 |
|
|
| Standard Default Reports |
QuarryMaster provides
a flexible solution for Management Reporting, which can accommodate
any size of organisation. A library of standard reports is included,
covering both output and financial reports for those unfamiliar
with designing reports. These standard reports can be freely
modified by users and they can even be used as report templates
from which new reports can be created. The information extracted
for reports is precise and up to date. |
 |
| Report Writer |
If your needs are
more diverse, a Report Writer is supplied, allowing the end
user to specify his/her own tailor made reports by building
in additional parameters. Wizards presenting users with a series
of options allow you to quickly and easily generate new reports
about day-to-day operations or customise existing reports in
either detailed or summary format and with access to all fields;
you can produce unique reports. |
